Cohort Activities – Artifacts: Org Documentation & Context Signaling

Self-Documenting Feature Exploration Exercise

Participants will explore various self-documenting features within Salesforce, such as field help text, path instructions, and setup descriptions. They will add descriptions and help text to standard and custom fields in a demo Salesforce environment.

A nonprofit organization uses Salesforce to track donations. Participants must enhance the standard fields with help text that explains each field’s relevance to donation records, including what constitutes a complete and actionable entry.

A manufacturing company has created a custom object to manage their inventory within Salesforce. The task is to populate admin descriptions and help text for each custom field to guide users through the process of adding new inventory items and updating existing ones.

A real estate agency utilizes Salesforce for managing property sales. Participants will add detailed path instructions and help text to guide agents through the stages of the sales process, from initial listing to final sale, emphasizing key actions at each stage.

Dynamic Forms and Visual Flow Workshop

In this workshop, participants will create dynamic forms that change based on record data, adding instructional text blocks to guide users. They will also build a ScreenFlow to identify and warn users of data gaps in related records.

Participants will create a dynamic form for service cases that updates to show relevant fields and information blocks based on the case type (e.g., technical support, customer inquiry). Additionally, they will build a ScreenFlow to alert users if any critical customer data is missing.

For a marketing team, participants will develop dynamic lead qualification forms that present different fields based on the lead source. A Visual Flow will also be created to guide users through data validation checks before a lead can be converted.

In a scenario where a company uses Salesforce for HR management, participants will design dynamic forms for the employee onboarding process that display relevant fields and instructional text blocks based on the role and department of the new hire. A flow will be set up to ensure all necessary onboarding tasks are completed and to alert HR if any critical information is lacking.

In-App Guidance Creation Task

Participants will design in-app prompts and guidance for different Salesforce objects. They will focus on highlighting changes, areas of focus, and guiding users through new features or important tasks.

Login Flows Scenario Simulation

This activity will have participants simulate the creation of a login flow that presents users with specific tasks or data checks upon logging in. The goal is to direct user attention to priority actions or information gaps.

Path and Coaching Setup Exercise

Participants will set up a path for an object to guide users through a series of steps, highlighting key fields and providing contextual coaching at each stage to explain the process and objectives.

Operational IMPACt

Promote the adoption of Salesforce’s self-documenting features as a best practice for all future implementations. Share examples in team meetings where these features have improved user adoption, reduced training needs, and enhanced data quality, underscoring their importance in project success.
